FESTIVAL REGULATIONS AND APPLICATION INSTRUCTIONS FOR ENSEMBLES
11th International Folk Meetings Malopolska
14.07-21.07.2025
1. The ensemble participating in the Festival may not exceed 30 people (including leaders, drivers, interpreters and others). The minimum age of participants is 16 years.
2. Accommodation and meals are provided for all groups during the Festival. All information and a detailed program for this year's Festival will be sent no later than June 2025.
3. Groups should arrive at the Festival venue before 10:00 a.m. on 14.07.2025 and leave on 21.07.2025. The address where groups should check in is:

4. The team may not make any other commitments during the Festival period and should participate in the rehearsals and concerts included in the Festival program.
5. The Festival organizer provides transportation by bus from the airport to the groups that arrive by plane. The cost of travel to Poland and back is covered by the participating group. The costs of transportation within Poland are covered by the Festival Organizer.
6. The group must inform the Festival Organizer about confirmed travel plans, as well as the visa procedure (if required) no later than 01.04.2025.
7. Groups will be accommodated in the dormitory and nearby hotels and guesthouses in rooms for 2, 3, 4 or more people. Food will be provided at the accommodation for the duration of the Festival.
8. The Festival organizer is not obliged to provide accommodation and food after the Festival. All groups should leave on 21.07.2025 after lunch.
9. The Festival organizer shall provide a guide-translator for each group.
10. Each group is required to purchase medical insurance for group members for the entire duration of the Festival. This insurance must be presented at the Polish border crossing.
11. The Festival organizer is responsible for arranging medical care in case of emergencies and in case of any injuries that occur during the Festival. The Festival organizer is not obliged to provide medical care before the Festival begins as well as after it ends.
12. The organizer anticipates that each group will perform up to two performances per day on outdoor and indoor stages (program up to 50 minutes) and take part in parades through the streets of the city (performances up to 10 minutes). The group may also be asked to prepare a 30-minute workshop on dance and prepare traditional dishes from their country (the organizer will provide the necessary foodstuffs). The group may be asked to perform at a venue that may not be suitable for the entire ensemble. Therefore, groups are asked to prepare information about the ability of the ensemble for such a performance.
13. The ensemble must strictly adhere to the Festival schedule, as well as the duration of individual performances. The ensemble may perform additionally outside the scheduled concert programme after agreeing with the Festival Organizer.
14. The group may be asked to participate in various promotional events in Myslenice and nearby places.
15. The group must have in their possession the national flag of their country.
16. The group must perform to the accompaniment of live music. Playback is not allowed.
17. The Festival organizer provides all groups with free time for rest, during which participants will be offered a cultural and tourist program.
18. All groups will receive a diploma for participation. It is expected that souvenirs will be exchanged with the Festival Organizer and local authorities. In this regard, the Festival Organizer requests to prepare 4 sets of souvenirs.
19. The organizer does not pay per diem to the participants of the Festival.
20. The Leader of each group is responsible for the discipline of the members of the group, including punctuality in terms of the program, good relations with other participants of the Festival, as well as for the artistic quality of the presented performances, corresponding to the submitted review materials.
21. All special needs and requirements will be considered according to the circumstances and possibilities.
22. Each group grants the Festival Organizer free of charge the copyright to conduct live transmissions, as well as to make and share audiovisual recordings of the groups' performances during the Festival.
APPLICATION INSTRUCTIONS:
1. All participants in the Festival must be at least 16 years old.
2. The ensembles wishing to participate in the 11th Edition of the International Folk Meetings Malopolska should send an application form expressing their desire to participate in the Festival no later than 01.04.2025 to the e-mail address:

3. Teams should send the following documents along with the letter:
- short resume of the Team in English or French (maximum 1000 characters including spaces)
- high quality color photos (CMYK, resolution min 300 dpi, format - TIFF, EPS, JPG, PNG)
- actual recording of the Team's performance not shorter than 15 minutes (format - AVI, MPEG4, DIVX).
4. The Festival organizer will send official invitations to the Bands qualified to participate in the 11th edition of the International Folk Meetings Malopolska by 10.04.2025.
5. Teams should have the following artistic program prepared:
- two performances respectively for the opening and closing ceremonies of the festival (up to 15 minutes)
- short performances scheduled to be performed during the parade through the streets of the city (3-5 minutes)
- a performance in a block, lasting up to 50 minutes.
